Boost Efficiency with Email Content Filtering

Did you know that you can use content filtering in your mailbox to streamline your workflow? For example, you can set conditions like “contains a certain phrase” to scan incoming emails, and then perform an action like “Move to Folder” or “Forward to another email address.” This can help keep your inbox organized, help other team members stay in the loop, or keep suspicious email attachments from hitting your primary inbox. Content filtering is a great way to choose an action to be performed for the incoming emails that meet certain criteria. 

If you have a professional email account with Website.com, you can use content filtering for your email account to make your work flow much more efficient.

For example, you may want to forward all emails that contain certain phrases or words to your assistant’s email account, or you may want to organize your emails into specific folders, or send all emails from a certain sender to another email account. 

You could also use content filtering to delete messages with certain attachments, like ones with the .exe extension. 

There are so many different actions and criteria that you can set using content filtering. 

Here’s how to do it.  

When you’re logged into your email account, click More > Settings and then click on Content Filtering.

Now click New > and give it a name (eg. forwarding rule) 

Now choose a condition that needs to be met.

For example, if you want your assistant to be in the loop of any emails related to a project that we call, “Project Apollo,” then the condition can be “contains specific words of phrases,” then choose whether you want the content filter to be looking through the subject, body, or both, or the from or to address for the certain phrases.

We’ll choose subject or body, and then we’ll put the project name in there, and some variations of this project name. Just put one phrase per line.

We’ll make sure for this drop down, it must contain the phrase.

Now we’ll save that. 

We can now choose the action for what happens to this email is the phrase is found. 

We’ll see there are so many actions to choose from.

We’ll choose Forward Message.

And now I’ll put in my assistant’s email so that all of the emails that contain the project name are forwarded to my assistant.

Let’s set up a new content filtering rule.

This time I want to send any emails that contain an .exe extension to trash, just to add a bit of security to my inbox so don’t accidentally download any viruses.

We’ll name the rule.

Then add the condition > Attachment > specific attachment > matches .exe

Now save.

And for the action, we’ll have it delete the message.

So as you can see, content filtering is an easy way to organize your inbox and make your workflow more efficient. 

You can choose to directly forward all emails from a certain email address to another email address, automatically add text to subjects or headers, or flag or prioritise messages based on certain conditions that you set up.
